1. Who we are
Quantum Build Consultancy Limited (company number 814599) ("we", "us", "our"), with our registered office at Ballyvaldon, Blackwater, County Wexford, Ireland, trading as Quantum Build AI, is the data controller for personal data processed through the Quantum Build AI site induction platform (the "Service"). You can contact us at donal@quantumbuild.ai.
2. Personal data we collect
- Account data — your name, email address and login credentials (stored in hashed form), your language preference, and your role and company association.
- Induction data — the inductions you complete, including the site you signed into, the date, the safety rules you confirmed, your quiz answers and scores, your signature on declarations, and any SPA (safe plan of action) confirmation.
- Certificates and documents — certificates you or your company upload, such as Safe Pass, manual handling and CSCS certificates, including their numbers, expiry dates and document files.
- Site sign-in data — the GPS location recorded when you sign in to or out of a site, and the photograph taken of the SPA board at sign-in.
- Company data — company name, contact details, branding, sites and their locations, induction rules and quiz questions, and billing information.
- Usage data — device and browser information, IP address and log data needed to operate and secure the Service.
3. Why we use your data
- to create and manage your account and give you access to the Service (contract performance);
- to deliver inductions, keep training records and issue completion certificates (contract performance, and compliance with the Customer Company's health and safety obligations);
- to verify site attendance and record site sign-ins (legitimate interests, and the Customer Company's safety management);
- to keep the Service secure and prevent fraud and misuse (legitimate interests);
- to process payments and maintain billing records (contract performance and legal obligation);
- to answer support requests (contract performance);
- to improve the Service (legitimate interests).
4. Who we share data with
- Your employer / Customer Company — the company you belong to can view your induction records, certificates, site sign-ins and quiz scores for that company.
- Stripe — our card payment provider, which processes payments, receipts, VAT, fraud checks and refunds for credit top-ups.
- Service providers — cloud hosting and infrastructure providers that store and process data on our behalf under contract.
- Professional advisers — legal, accounting and insurance advisers, where needed.
- Authorities — where required by law or to protect rights, safety or property.
We never sell personal data.
5. International transfers
Personal data is hosted in the European Union. Where data is transferred outside the UK or EEA, we rely on an adequacy decision or standard contractual clauses to protect it.
6. How long we keep data
We keep personal data only as long as needed for the purposes above. Induction and training records are kept while you are associated with a Customer Company and for as long as required for health and safety record-keeping. Billing records are kept for the period required by tax law. When data is no longer needed, it is deleted or anonymised.
7. Your rights
You have the right to:
- access the personal data we hold about you;
- have inaccurate data rectified;
- have your data erased in certain circumstances;
- restrict or object to our processing;
- receive a portable copy of your data;
- withdraw consent where processing is based on consent;
- complain to your data protection supervisory authority.

8. Security
We apply appropriate technical and organisational measures to protect personal data, including encryption in transit and at rest, strict access controls, and company-level data isolation so that each Customer Company can only access its own records.
9. Cookies
The Service uses only strictly necessary cookies and equivalent local storage to keep you signed in and keep the Service secure. We do not use advertising or marketing cookies. You can clear these at any time in your browser settings, but you will need to sign in again.
10. Changes to this notice
We may update this notice from time to time. The current version is always available on this page.
